Oct. 23

The task force met to discuss presentations across campus updating the campus community as to the work of the task force and various options under consideration.

Outcomes of the meeting:

Several changes were suggested for the PowerPoint prior to any presentations being scheduled on campus. The group will continue to circulate as edits are made until the presentation is finalized and approved by the members of the task force.

2018-19

The task force will not be meeting over the summer to allow more time for the focus groups to complete gathering and reviewing data.  Information on the progress of the focus groups will be posted on the Subcommittee Updates pages.

May 28

The task force met to review the status of the subcommittee work, develop a plan for continued progress over the summer, and provide input for the campus communication plan.  Discussion points included:

  • Review of subcommittee feedback on campus communication to be shared by President Frank
  • Overall plan and schedule for continued focus group meetings over the summer
  • Discussion of task force update presentations currently being provided by the task force and a plan to continue engaging campus partners in the work of the task force
  • Development of goals to be completed over the summer in anticipation of a full group meeting in September

Outcomes of the meeting:

  • Lynn Johnson will forward the campus communication feedback from the task force to President Frank.
  • Summer work groups will focus on identification of areas needing improvement and formulate recommendations for the full task force when it reconvenes in September.

Apr. 24

The task force discussed continuing subcommittee work and heard from hrQ. hrQ shared information that will be in its final report to the university, including information about a number of different processes such as onboarding and talent acquisition. Work should wrap up in early June so the task force can review hrQ recommendations over the summer months.

The communication plan was presented for feedback and adjustments. The plan calls for an email to campus from Lynn and the development of a website that will share summaries of work done by the task force and subcommittees. It will be updated on a regular basis and provide a FAQ to address questions task force members are hearing from across campus.

Outcomes of the meeting:

  • Task force members will individually review the hrQ report when it is available. Subcommittee chairs will communicate parts relevant to their subcommittees
  • The communication plan was agreed upon and subcommittee chairs will work with the Trebuchet Group to get summaries written for the website
  • A tentative plan was outlined for task force work to continue over the summer months while addressing concerns about year-end commitments for the finance focused members

Mar. 28

The task force met to discuss subcommittee work and how the change in university leadership may affect the recommendations timeline.

Human Resources is working with an outside consultant, hrQ, to review processes. The task force will review the consultant’s findings as it progresses to see what can be applied to subcommittee work. In addition to the work hrQ is doing, several workshops to gather information from Human Resources stakeholders will be held. Human Resources anticipates more than 100 people from across campus will participate in workshops.

Outcomes of the meeting:

  • Lynn Johnson will work with President Frank to ensure that all presidency candidates are aware of the task force and its work
  • A change management policy/process will be created to help implement task force work and keep the university on the path of continuous improvement
  • Meetings are ongoing with each college and stakeholder groups to answer initial questions and task force members will help facilitate scheduling those that haven’t been met with yet
  • Task force members identified what’s working, not yet working, or missing/unclear about the task force and work being done in the subcommittees
  • Identification of forums to present task force information to deans and faculty with appropriate task force members reaching out to schedule opportunities

Feb. 25

The task force meeting covered subcommittee reports and subgroup formation to support subcommittees in research and work product. Each subcommittee will have subgroups for each work function area– finance, human resources, and sponsored programs. Opportunities for improvement have been identified that do not need to wait for a taskforce recommendation to be corrected or improved. Those things that can be corrected and implemented easily should done as quickly as possible.

Task force members also discussed questions they are beginning to hear from people across campus about the task force and its work.

Outcomes of the meeting:

  • Subgroups created and initial identification of potential members
  • Decisions about how to share research across subcommittees and subgroup
  • System process mapping’s initial survey responses were shared, and some items were handed off to other subcommittees to work on
  • Task force members will ask stakeholders what questions they have about the task force and its work so a communication plan and information site can be developed

Lynn Johnson and other task force members will present to as many groups as possible on campus about why the task force has been created and what benefits the university hopes to receive out of its work.

Jan. 28

The task force met to discuss the outcomes of the initial subcommittee meetings and to provide input for additional subcommittee members outside of the task force. Additional members were selected to provide representation across campus and broad experience and perspectives. Each subcommittee chair provided a report on what their subcommittee had determined would be their scope of work.

Outcomes of the meeting:

  • Discussion regarding initial information survey sent to campus stakeholders from the systems process mapping subcommittee
  • Subcommittees will work on issues the survey uncovers
  • Plans to contact other institutions that have gone through a similar discovery and change phase for information about their processes and outcomes

Dec. 17

The entire task force met for the first time to review the charge and discuss the organization of the group moving forward. 

Outcomes of the meeting:

  • Established group behavior norms – how will we work together to be successful
  • Finalized guiding principles that will inform the decision-making process
  • Subcommittees were finalized, and taskforce members selected which subcommittees they will lead or participate on
  • Potential timeline was reviewed and agreed upon
